Please take the time to read and understand the following Terms and Conditions before booking a tour or travel service with Cinematic Travel.
All bookings are made with Cinematic Travel, which acts as the tour operator and sales agent for services and products provided by third-party suppliers.
Our role is to arrange and coordinate your travel, accommodation, activities, entertainment, guiding, and related services, as well as handle bookings and issue tickets and vouchers to be redeemed by suppliers.
All tickets, vouchers, coupons, and service orders are issued subject to these general terms and conditions and the terms and conditions of the respective providers of transportation, accommodation, activities, entertainment, and other services or products. These terms collectively constitute the agreement between you and us.
It is the customer’s responsibility to familiarize themselves with the terms and conditions of the third-party providers.
When issued by a service provider, their contract shall form the sole agreement governing the supply of that particular service or product. This agreement will be governed by the regulations and by-laws of the respective provider, subject to applicable laws in the country where the service or product is delivered.
All bookings are subject to availability. Verbal quotes are estimates only, and prices are confirmed only with a written quote. Written quotes are subject to change at any time.
By accepting your tour or travel quote online and upon our acceptance of your booking, we will issue a booking confirmation invoice. A binding contract between you and Cinematic Travel is formed once we issue a payment receipt or invoice.
Cinematic Travel and/or its agents reserve the right to modify, cancel, or withdraw arrangements without prior notice. In such cases, any payments made will be refunded, and upon refund, Cinematic Travel and its agents will have no further liability. Additionally, Cinematic Travel reserves the right to decline any individual’s participation at any time.
A deposit of 50% per person is required within three days of booking confirmation unless otherwise specified. Deposit amounts may vary for specific trips or promotional campaigns, and these conditions will be detailed at the time of booking.
For independent travel package bookings, the remaining balance is due 60 days or 90 days (for international packages) prior to departure. Bookings made within these timeframes must be paid in full at the time of confirmation.
For tour bookings, the balance is also due 60 days or 90 days prior to departure. Bookings made within these periods must be fully paid upon confirmation.
Cinematic Travel reserves the right to charge a late booking fee for any reservations made within 30 days of departure.

We strongly recommend obtaining travel insurance to cover cancellation costs. Refunds are not available for unused guiding, accommodation, car rentals, transfers, ski passes, rentals, lessons, or activities.
A $50 fee will be charged for each amendment made after booking instructions have been received. This fee is in addition to any applicable cancellation fees.
All credit card transactions incur a 3% surcharge. If a booking is canceled, the credit card merchant fee is non-refundable.
PRICES AND SURCHARGES
All rates listed are per person unless otherwise specified. Tour prices are subject to fluctuations based on demand, market conditions, and availability. This means that prices may change at any time, as is standard practice in the travel industry.
Cinematic Travel may utilize foreign exchange contracts to protect both clients and the company from significant adverse currency fluctuations. As a result, the exchange rate applied to your payment may differ from current market rates, and it is possible for different travelers on the same trip to pay varying prices. To secure the price you see, it is recommended to book promptly. Reduced pricing or discounts offered after you have paid your deposit will not apply retroactively. If you choose to cancel your booking to access a lower price, full cancellation terms will apply as outlined in our cancellation policy.
We reserve the right to apply surcharges up to 21 days before departure due to changes in exchange rates, transportation costs, local operator fees, taxes, or government actions. If a surcharge increases your trip price by more than 10%, you may cancel your booking within three days of notification and receive a full refund. Credit card purchases may also incur a surcharge.
Please note that Cinematic Travel may receive fees, commissions, gifts, or financial incentives from third parties under this contract.
Tour prices do not include the cost of passports, visas (if required), unspecified items, airport taxes, laundry, security deposits, telephone calls, meals not included in regular menus, equipment hire, lift passes (unless otherwise stated), or any other personal expenses.
You are responsible for ensuring you have all necessary documentation for entry, exit, and travel to each country on your itinerary. This includes a valid passport, visas, permits, certificates (including vaccination or medical certificates), and insurance policies. Passports must be valid for at least six months after your trip ends. You are solely responsible for obtaining these documents before travel and for any costs incurred due to missing or defective documentation. Cinematic Travel is not liable for losses or expenses resulting from your failure to secure proper documentation.
To finalize your travel arrangements, you must provide all requested details along with the final payment. Required information may include, but is not limited to, your full name (as listed on your passport), date of birth, nationality, passport number, issue and expiry dates, and any pre-existing medical conditions that could affect your ability to complete the trip. For certain challenging trips, a Self-Assessment form may also be required.
We strongly recommend purchasing cancellation insurance at the time of booking. If you leave a trip for any reason after it has started, Cinematic Travel is not obligated to provide refunds for unused services. The same applies if you fail to join the trip, arrive late, or depart early. Additional cancellation fees may apply from third-party providers, such as accommodation or transport operators.
Transfers to another individual or an alternative tour are allowed only if operationally feasible and if the new participant meets all trip requirements. Additional fees or price adjustments may apply. No amendments are allowed within 21 days of departure.
Cinematic Travel cannot guarantee snow conditions. Tours cannot be canceled, altered, or amended due to unfavorable weather conditions.
Cinematic Travel reserves the right to cancel any tour before it is confirmed. A tour is confirmed once the minimum number of participants, as defined by Cinematic Travel, is met. We may also cancel a confirmed tour due to unforeseen circumstances.
If a tour is canceled, you will have the option to switch to another tour or receive a full refund. If the alternative tour costs less than the original, the difference will be refunded. If it costs more, you will need to pay the difference. Cinematic Travel is not responsible for incidental expenses incurred due to booking cancellations, such as visa fees, vaccinations, non-refundable flights, or insurance excess.
Neither party will be liable for failure or delay in fulfilling obligations due to causes beyond reasonable control, such as natural disasters, war, terrorism, epidemics, government actions, or other emergencies. Force majeure does not include financial difficulties or changes in market conditions.
Minimum Age: Travelers must be at least 18 years old. Those under 18 must be accompanied by a legal guardian or an appointed escort who assumes responsibility for the minor.
Maximum Age: While there is no upper age limit for most trips, participants must ensure they are physically fit for the demands of their chosen itinerary. It is your responsibility to seek medical advice at least two months before travel to address health requirements and recommendations for your destination.

Additional Terms and Waivers
For specific terms applicable to certain trips, please consult your sales consultant or travel agent. Due to the nature of some tours, additional waivers, unique terms, or release forms may need to be signed and submitted to third-party service providers assisting with your trip.
Travel insurance is mandatory for all participants and must be arranged at the time of booking. Your insurance must cover personal accidents, death, medical expenses, and emergency evacuation, with a suggested minimum coverage of USD $200,000 for each category. We also highly recommend coverage for trip cancellation, interruptions, personal liability, and loss of luggage or personal items. On the first day of your trip, you are required to provide your travel insurance policy number and the insurer’s 24-hour emergency contact information. Without these details, participation in the trip will not be permitted. If your insurance is linked to a credit card or bank account, ensure you have the relevant insurer details, policy number, and emergency contact information, rather than just bank or card details.
We acknowledge that this type of travel requires flexibility, and unforeseen adjustments may be necessary. While the provided itinerary represents the planned activities, routes, schedules, and accommodations may change without prior notice due to local circumstances or events. We strive to operate all trips as described, but adjustments may occur.
Before Departure: If significant changes occur before your departure, we will notify you promptly. A significant change is defined as an alteration affecting at least 20% of the itinerary. In such cases, you can accept the changes, request a refund for the land portion of the trip, or choose an alternative trip.
After Departure: Itinerary changes may be required due to local conditions, weather, or unforeseen events. In such cases, additional costs for necessary modifications will be your responsibility. We are not liable for incidental expenses such as visas, vaccinations, or non-refundable flights incurred due to these changes.
The accommodations listed on our website are indicative of those used for the tour. Substitutions may be required due to various circumstances, including increased departures or location changes. Replacement accommodations will be of a similar standard to those listed. While we aim to secure twin-bedded rooms, double-bedded rooms may be allocated for couples in some cases. Check-in times vary depending on the destination.
Our tours are led by group leaders whose decisions are final regarding safety and well-being. Non-compliance with a group leader’s decisions or actions endangering the group may result in your immediate removal from the tour without a refund. Participants are expected to adhere to the laws and customs of all destinations visited.
You acknowledge that adventure travel carries inherent risks, including potential dangers related to geography, culture, or political conditions. Activities such as skiing or snowboarding involve hazards like sudden weather changes and avalanches. While Cinematic Travel and its contractors take steps to minimize risk, we cannot guarantee absolute safety. Participation is at your own risk.
You also recognize that traveling during the COVID-19 pandemic may expose you to health risks. We implement safety measures to protect participants but may require adherence to additional safety protocols.
We use governmental and local advisories to assess trip feasibility. However, it is your responsibility to familiarize yourself with travel information, health risks, and itinerary details. Your decision to participate signifies acceptance of these risks. To the extent permitted by law, Cinematic Travel assumes no liability for these risks.
Optional activities not included in the trip cost are offered independently. Assistance or recommendations provided by our team for these activities do not constitute liability on our part. Contracts for optional activities are between you and the service provider.
Cancellations: Refunds for cancellations made 90+ days before arrival will include a deduction of a 25% booking fee. Cancellations within 90 days of arrival are non-refundable. Exceptions are not permitted. Written notification of cancellations is required. We recommend purchasing trip cancellation/interruption insurance to protect your investment.
Weather and Safety: Tours operate in all weather unless deemed unsafe by the guide. If canceled before departure, the tour may be rescheduled or refunded. Once a tour commences, refunds are not available.
Arrival and Check-In: A transfer service to and from airports will be provided. Late arrivals may result in booking cancellation without a refund.
Safety and Equipment: Participants engaging in backcountry activities must carry avalanche safety equipment, which can be rented at the time of booking. Participants must understand how to use their equipment. A valid lift pass is required but not included. All guests must attend safety briefings and follow guide instructions. Guests endangering themselves or others may be removed from the tour without a refund.
Travel Insurance: Comprehensive travel insurance is strongly recommended to cover unexpected costs such as cancellations, delays, injury, or illness.
For complaints during the tour, notify your group leader or local representative immediately. For post-tour inquiries, contact Cinematic Travel within 30 days of trip completion. Delays in filing complaints may affect the resolution process or compensation eligibility.
If any provision of these terms is deemed unenforceable, it will be severed or amended to the minimum extent necessary. The remaining provisions will remain binding.
Personal information collected will be used to facilitate trip operations and may be shared with agents, service providers, or suppliers. By booking, you consent to this use and agree to periodic review of our Privacy Policy.
Photographs and videos on our website are for illustrative purposes. Facilities and attractions may vary. Routes and itineraries shown on maps are subject to change.
Participants grant permission for photographs and videos taken during tours to be used for promotional purposes. Written notification is required before departure if you do not consent to this use.
These terms are governed by the laws of Victoria, Australia. Any disputes must be resolved in Victorian courts.
Our services are provided under guarantees defined by Australian Consumer Law (ACL). To the fullest extent permissible, we exclude liability for losses, injuries, or damages not resulting from our fraud or willful misconduct. Under ACL, remedies for breach of guarantees are limited to service resupply or reimbursement of associated costs.
We may assign or transfer our rights and obligations under these terms at our discretion, with written notice to you.
